Write the service brief before asking for quotes
Separate optional movement classes from a broader wellness-platform purchase or a contract to manage a physical fitness center. Those services involve different responsibilities. A vendor that can supply an instructor is not necessarily equipped to manage facilities, benefits administration or employee health records.
Use the editable checklist below with your procurement colleagues. It is a planning aid, not a substitute for agency purchasing instructions.
Confirm the route and the evidence required
Ask your contracting or purchasing team which process applies. Requirements can differ by agency, jurisdiction, purchase scope and funding. Do not assume a website’s vendor badge makes a particular contract usable by your agency.
For federal awards, SAM.gov distinguishes entity registration from obtaining a Unique Entity ID alone. Ask the vendor and your purchasing team for the status relevant to this purchase instead of inferring eligibility from a number displayed on a website.
Cooperative contracts also have defined scopes. As a concrete example, Sourcewell’s 2026 wellness solicitation included platform-related services and excluded services-only solutions. That closed solicitation illustrates why a general wellness contract should not automatically be treated as a route for buying a standalone fitness class.
Request comparable answers from every provider
Ask each provider to respond to the same questions and identify what remains unconfirmed. A clear statement of an unavailable feature is more useful than a vague promise of a fully customized service.
Include the technology used to join, account requirements, captioning or other access arrangements, recording policy, local support duties and the limits of instructor observation. Accessibility claims should be supported by relevant documentation and demonstrations, not a generic assertion that a platform is accessible.
| Topic | Evidence or answer to request |
|---|---|
| Delivery | A sample session description, duration, participant limit and explanation of instructor feedback. |
| People | Relevant instructor qualifications, experience with the intended group and an absence-cover process. |
| Technology and access | The proposed platform, joining steps, accessibility information and a practical demonstration. |
| Privacy | What is collected, why it is needed, who receives reports and how long information is retained. |
| Commercial scope | Pricing unit, minimum commitment, included preparation, changes, cancellations and local responsibilities. |
Agree on a pilot review before launch
Choose operational measures that match the purchase: sessions delivered as agreed, attendance, repeat participation, joining difficulties, staff effort and participant feedback. Decide who will review the information and when.
Keep a list of open items with an owner and a date for resolution. A pilot should not begin with uncertainty about who assists participants locally or what happens if the connection fails.
