Wellness Program Email Templates: Invite, Remind & Learn

A good wellness invitation tells people what is happening, whether joining is optional, when it happens, how to join and what they need. Avoid leading with promises about productivity or implying that attendance will be evaluated by a manager.

Make the invitation useful before making it persuasive

Use the templates below only after filling in confirmed details. A short movement break and a 30-minute class should have different descriptions. If a feature such as captions or a recording is not confirmed, do not promise it.

Invitation: an optional activity

Subject: An optional movement session for our team

We’re trying [activity and purpose] on [date] at [time and time zone]. The session lasts [duration] and is optional. You can take part, choose another break or skip it.

To join, use [joining instructions]. You will need [confirmed space, equipment and clothing requirements]. [Explain camera and recording arrangements.] If you have a practical access question, contact [private contact route]. Please do not send medical details in a group reply.

We will use [clearly described information] to understand whether this format is useful. [Link to the actual data-handling explanation.]

Reminder: help people arrive prepared

Subject: Joining details for [activity] on [date]

Our optional session starts at [time and time zone] and lasts [duration]. Here is the link or location: [details]. Please allow [realistic setup time] and check [essential preparation].

If the time no longer works, [explain the actual cancellation or attendance process]. Participation remains optional. For a practical question, contact [route].

Feedback: ask participants and nonparticipants

Subject: Did the movement session fit your workday?

We are reviewing the pilot and would value your optional feedback. If you joined, what worked and what could improve? If you did not join, was the time, format, access or something else the main reason? 'Not interested' is also a helpful answer.

Use [feedback route] by [date]. Please do not include medical or identifying details beyond what the form requests. [Explain who sees answers and whether responses are identifiable.] We will share the planning decision after the review.

Keep communications proportionate

Use the channels employees already rely on, with a clear internal owner for questions. Repeated reminders cannot solve workload or scheduling barriers. If attendance is low, revisit feasibility and relevance rather than increasing pressure.

These are copyable planning templates, not emails sent by BarreWorkout. Our employer interest form does not automatically email employees or enroll them in classes.
