Employee Wellness Privacy: Questions to Ask Before a Pilot

A workplace wellness program can involve inquiry details, registration, attendance, feedback and recordings. They are different kinds of information with different purposes. Ask who needs each field, who can access it and how long it will remain.

What our inquiry form collects—and why

This describes the current planning inquiry, not a future employee participation contract. Keep employee medical details out of the form.

Required inquiry details

Contact email, organization name, format interest and permission to reply. Authorized staff use these to consider your request and contact you.

Optional planning details

Role, setting, group size, delivery preferences and preferred times help scope a conversation. They are optional and can be discussed later.

Retention and control

Inquiries expire from the active list after 12 months. For access, correction or removal, contact support from the inquiry email so the request can be checked.

Map the information before collecting it

A provider’s ability to collect detailed data is not a reason to collect it. For planning a movement pilot, a company may mainly need preferences, practical access requirements and aggregate use. Employees should understand the actual arrangement before participating.

Questions to ask a provider

Ask for plain-language answers and the relevant policy. Do not infer a specific legal framework or certification merely because a service concerns wellbeing.

  • What information is required to inquire, register and attend?
  • Can the employer see named attendance or individual responses?
  • Are sessions recorded, and could participants be identifiable?
  • How are survey/contact details separated?
  • What retention, deletion and access procedures apply?
  • What happens to data in backups and after a contract ends?

How organization inquiries are handled

The BarreWorkout inquiry forms require a contact email, organization name, selected format and consent to reply. They record the inquiry audience. Role, organization or community setting, size range and delivery arrangement are optional. Further optional details include local weekly preferences and time zone, desired start, budget band, program goals and, for communities, local staff support. We record the source page, consent version and submission/expiry time. When available, we also save a referring website hostname and campaign labels to understand how inquiries reach us; we do not collect the full referring URL or advertising click IDs. Optional site measurement, controlled through Privacy & measurement choices in the footer, counts consenting sessions and successful inquiries separately from contact details. The waitlist privacy page explains that measurement and its retention periods.

The details are stored separately from consumer waitlist preferences in our private application database. Authorized owner/administrator accounts can review, export and remove inquiries to plan offerings and respond. Entries expire after 12 months and are removed from the active list when it is accessed or a new inquiry is processed. Private backups may retain earlier copies.

We do not ask for employee or resident medical records or enroll participants through these forms. Submission does not send an automatic email, make a booking or take payment. Repeating the same email and organization keeps the existing entry instead of silently replacing its preferences. Contact support to request correction or removal.

Before a company runs a program

This inquiry policy is not a claim about a future attendance-reporting or recording service. Those arrangements must be defined before any workplace class is booked.

Ask about actual permissions rather than relying on the word anonymous. Small groups can be recognizable even in aggregate data, and recorded video can reveal more than an attendance count.

For a correction or deletion request, contact support. Please use the email associated with the inquiry so we can verify the request.

Sources and scope

General information for employer planning. Provider descriptions are their own published offerings, not independent performance ratings. No named medical review or product test is implied.
